A farmers’ group that is preparing for its next general meeting has brought handwritten records of the previous meeting, physical receipts for money spent, and a flash disk containing images showing some of their achievements such as garden work, harvested produce and group training activities. The group has asked Nabirye to prepare the previous meeting minutes, produce a brief summary of the farmers’ achievements using the images provided on the flash disk, keep soft copies of the physical receipts, produce twenty printed copies of the meeting minutes, and send a PDF copy to the chairperson’s email before the next day’s meeting. After preparing a sample copy of the minutes for checking, Nabirye attempted to print it. However, the printer stopped before completing the page, and the paper got stuck inside the printer. The printer displayed the message shown in Figure 1. Nabirye fears delaying the farmers’ group because she does not know how to proceed or prevent the same problem from happening again. Clear the jam and press OK.” Task: a) Assess Nabirye’s situation and advise her on how to serve the farmers’ group successfully. b) Analyze Nabirye’s printer behaviour and advise her on how its current situation and future challenges can be addressed. ITEM 2 Hope Youth Club has been invited to present a community health awareness campaign during a district online exhibition organised to promote healthy living among young people. The club is expected to prepare awareness messages, design attractive materials, include suitable images, and present their work to health workers, community leaders and other youth groups through an online session. The members wanted to focus on issues such as sanitation, malaria prevention, teenage health and responsible use of health information shared online. Some members suggested using Artificial Intelligence to generate ideas, improve wording, summarise health messages and design better content for the campaign, but others feared that AI would replace their own thinking or produce information that may not be correct. They also did not know how to generate content for the online exhibition and share it during the exhibition through a virtual meeting. During a test online session, some members shared unverified health claims, copied images from the internet without acknowledging their sources and posted jokes that embarrassed one participant. The chairperson also noticed that many members did not know how use AI to generate Content, to join the online session, share their screen, present their materials, use the chat responsibly or protect the meeting link from unwanted participants. The club has therefore asked you to guide members before the exhibition. Task: a) Develop guidelines to be followed by members in future to prepare and share their campaign content. b) Evaluate the members’ conduct during the online test session and give your opinion on safe and ethical use of the digital platforms. ITEM 3 Kibale Agro-SACCO purchased a customised Loan Records Management System and trained most branch workers, except Immaculate who was away attending a farmers’ mobilisation activity. When she returned, she tried to learn the system alone because the SACCO needed her to capture loan applications, update repayment records and generate monthly summaries. However, when she searched online, she found that the software developer had not yet provided online tutorials, user guides or frequently asked questions. Her colleague in another branch agreed to guide her by remotely accessing and interacting with the Loan Records Management System on Immaculate’s desktop as she observed and practised. In addition, Immaculate considered using generative Artificial Intelligence to analyse loan records, summarise loan trends, compare repayment patterns and prepare a clear report for management, but she did not know the best digital tools and procedures to achieve this. At the same time, management discovered that one worker had been using the SACCO email system and unauthorized software to monitor colleagues and collect clients’ contact details and loan information. This exposed the SACCO to privacy complaints, financial loss and mistrust among members. Although most workers were concerned about being monitored, they did not fully understand how the incident affected them and the SACCO. Task: a) Examine how digital tools can be used to help Immaculate receive guidance while learning to use the Loan Records Management System. b) Assess how the SACCO would safeguard itself from such vulnerabilities.
