QuickBooks Reconciliation: How to Catch a Duplicate Transaction Before You Save

A QuickBooks Online reconciliation that balances to zero isn't automatically correct. It just means the numbers landed in the same place, and that's not always the same thing as accurate. One of the easiest errors to miss is a duplicate transaction, which happens when a payment lands in your bank feed and gets categorized as new income instead of matched to an invoice that's already recorded in your books. When that happens, the same payment gets counted twice, which quietly inflates your income on the Profit and Loss report, even while your reconciliation still shows a zero difference. In this video, I walk through a real example of exactly this issue: two transactions for the same amount, on the same day, from the same client, sitting inside a reconciliation that technically balances. I'll show you how to spot the pattern in your Bank Transactions tab, how to tell whether a transaction was matched or just categorized, and how to safely undo and re-match it before you finalize your reconciliation. Then we'll look at the Profit and Loss report before and after the fix, so you can see exactly how this error shows up in your numbers and why it matters for accurate, tax-prep-ready books.
