Accounting is a legal obligation: it is necessary to keep all legal documents to give them to the accountant who will need them for VAT and tax returns. They must also be kept for 10 years in case of a tax audit. That's why it's important to properly organize and structure all this documentation in the most efficient way possible. It's not enough to properly organize your documents; it's also essential to have a good accountant. Documents must be filed correctly. Otherwise, the accountant will have to sort them himself, and he will inevitably bill the accountant for the time spent organizing them. The best solution is to purchase a binder each year divided by two dividers: One section contains sales invoices (which will be filed by invoice number. For example: invoice 2022/001; invoice 2022/002... up to the last invoice of the year). The advantage: they will also be filed in chronological order. Ideally, you should also highlight the date, invoice number, and VAT amount to make the accountant's work easier. A section with purchase invoices sorted by date (the numbers change from one invoice to the next. For example: 01/01/2022; …; 12/31/2022). These invoices all have different formats, so it's common to highlight the date and the VAT amount again to help the accountant. This binder should be brought to the accountant at the end of each quarter to complete the VAT return. They will need it again at the end of the year to complete their tax return. Once the tax return has been completed, simply put the binder away at home and start again with a new folder for the following year. ✌️ The second accountant is "modern" and works with electronic versions of invoices. Generally, invoices should be sent to them by email to two addresses linked to their invoice processing program. For example: [email protected] for purchase invoices and [email protected] for sales invoices. They will then be automatically sent to the appropriate client file. The accountant then only needs to access the file to retrieve the invoices. The ideal is to forward purchase invoices as soon as they arrive by email and send sales invoices as soon as they are created. Paper invoices should be scanned. However, they must be kept for 10 years. The best thing to do is to store them in a new file each year. This file itself contains two "sub-files" for sales and purchases. This is the equivalent of the binder and two dividers used in "old-school" accounting. The easiest way to name invoices is to proceed as follows: For sales invoices: invoice 2022/001; invoice 2022/002...until the last invoice of the year. For purchase invoices: rename them using the format year-month-day – supplier name – amount in €. For example: 2022/03/17-Supplier-XXX€. Starting with the year, followed by the month, and finally the day, they will be listed in chronological order. Moreover, with this name, there's no need to open the file to see the main information contained in the invoice. Just like a binder that should be kept for 10 years at home, files should be kept for 10 years on your computer. Classifying your accounting correctly from the start creates a routine that will become automatic over time.
